Maintenance request and work order automation
Every request logged. Every vendor followed up.
Maintenance request automation captures every issue, sorts it by urgency, creates the work order, dispatches the right vendor and keeps the tenant updated, while your team approves anything costly or sensitive.
What is maintenance request and work order automation?
It is a set of rules that logs every maintenance request in one place, sorts emergencies from routine jobs, assigns the right vendor, follows up until the work order is closed and keeps the resident updated. Your team still approves spending and handles anything unusual.
A good fit if
- Requests arrive by phone, text, email and portal, and get lost between them
- Someone on your team spends hours chasing vendors for updates
- Residents call to ask what is happening with their repair
- You use AppFolio, Buildium or similar software and want it kept up to date
Probably not a fit if you have a full-time maintenance coordinator and a process that already works well.

- Assigned to the right vendor or technician
- Owner notified where your agreement requires
4. Vendor dispatch

Maintenance automation: common questions
Short, direct answers. Ask us anything else on a strategy call.
How does maintenance request automation work?
A tenant reports an issue by form, text or chat. The workflow collects details and photos, sorts the request by category and urgency, creates a work order in your property management software, notifies the right vendor under your rules, updates the tenant and follows up until the job is closed.
Can AI tell an emergency from a routine maintenance request?
It can flag likely emergencies, such as a gas smell, active flooding or no heat in winter, and route them to your on-call contact immediately. It should never be the only safeguard, so your emergency instructions and after-hours line stay in place.
Can vendor follow-ups be automated?
Yes. Vendors can get automatic reminders to accept a job, confirm a time, upload completion photos and send invoices, and your team gets an alert when a job is overdue.
Will maintenance automation work with AppFolio, Buildium or my current software?
Most property management platforms have a maintenance module. We work with what your platform allows, whether that is native features, an official API or a supported automation tool, and we confirm it during discovery before we promise anything.
What should stay with a person?
Approving costly repairs, owner approval thresholds, habitability and legal issues, disputes and anything involving safety. The workflow prepares the information; a person makes the call.
